Stewartry U3A Privacy Policy
Stewartry U3A treats your privacy rights seriously. This privacy policy sets out how Stewartry U3A will deal with your ‘personal information’, that is, information that could identify, or is related to the identity of, an individual.
What personal information do we collect?
When you express an interest in becoming a member of Stewartry U3A you will be asked to provide
certain information. This includes:
- your name
- home address
- e-mail address
- telephone number
- health related information – where relevant to participation in U3A activities
- emergency contact details – where required for participation in U3A activities
How do we collect this personal information?
All the information collected is obtained directly from you. This is usually at the point of your initial registration. The information will be collected via membership application or renewal forms. The lawful basis for collecting and storing your information is due to the contractual relationship that you, as a member, have with the Stewartry U3A. In order to inform you about the groups, activities and events that you can access as a member we need to store and process a certain amount of personal data.
How do we use your personal information?
We use your personal information:
- To provide our Stewartry U3A activities and services to you
- For administration, planning and management of the Stewartry U3A
- To communicate with you about group activities
- To monitor, develop and improve the provision of Stewartry U3A activities
We will communicate with you by e-mail, post, other digital methods or telephone to advise you of Stewartry U3A activities.
Who do we share your personal information with
We may disclose information about you, including your personal information
- Internally – to committee members and facilitators – as required to facilitate your participation in Stewartry U3A activities;
- Externally – with your consent for products or services such as direct mailing for the Third Age Trust magazines – Third Age Matters and Sources;
- If we have a statutory duty to disclose it for other legal and regulatory reasons.
Where we need to share your information outside of the Stewartry U3A we will seek your consent and inform you as to whom the information will be shared with and for what purpose.
How long do we keep your personal information
We need to keep your information so that we can provide our services to you. In most instances information about your membership will not be stored for longer than 12 months. The exceptions to this are instances where there may be legal or insurance circumstances that require information to be held for longer whilst the issues are investigated or resolved. Where this is the case you will be informed as to how long the information will be held and when it is deleted.
How your information can be updated or corrected
To ensure that the information we hold is accurate and up to date, members need to inform the Stewartry U3A of any changes to their personal information. You can do this by informing the Membership Secretary. On an annual basis you will have the opportunity to update your information via the membership renewal process. Should you wish to view the information that the Stewartry U3A holds on you, you can make this request by contacting the Membership Secretary. There may be certain circumstances where we are not able to comply with this request. This would include where the information may contain references to other individuals or for legal, investigative or security reasons. Otherwise we will usually respond within 14 days of the request being made.
How do we store your personal information
We have in place a range of security safeguards to protect your personal information against loss or theft, as well as unauthorised access, disclosure, copying, use or modification. Your membership information is held on a database and accessed only by committee members and facilitators.
Availability and changes to this policy
This policy is available on the Stewartry U3A website and is available from the Membership Secretary. The policy may change from time to time and any material changes will be intimated on
the website and in the Stewartry U3A newsletters.

Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Website Cookies
WordPress uses cookies, or tiny pieces of information stored on your computer, to verify who you are. There are cookies for logged in users and for commenters.
If you leave a comment on our site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Users Cookie
Users are those people who have registered an account with the WordPress site.
On login, WordPress uses the wordpress_[hash] cookie to store your authentication details. Its use is limited to the Administration Screen area, /wp-admin/
After login, WordPress sets the wordpress_logged_in_[hash] cookie, which indicates when you’re logged in, and who you are, for most interface use.
WordPress also sets a few wp-settings-{time}-[UID] cookies. The number on the end is your individual user ID from the users database table. This is used to customize your view of admin interface, and possibly also the main site interface.
Commenters Cookie
When visitors comment on your blog, they too get cookies stored on their computer. This is purely a convenience, so that the visitor won’t need to re-type all their information again when they want to leave another comment. Three cookies are set for commenters:

comment_author_url_{HASH}
The commenter cookies are set to expire a little under one year from the time they’re set.
Cookies used by Plugins:
viewed_cookie_policy – Is the primary cookie that records the user consent for the usage of the cookies upon accept and reject. It doesn’t track any personal data and is set only upon user action(accept/reject).
cookielawinfo-checkbox-necessary/cookielawinfo-checkbox-non-necessary – Records the default button state of the corresponding category. It works only in coordination with the primary cookie.

Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue. For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
